Wakefield Metropolitan District Council decided to embark on a project to digitise all incoming mail so it could be easily distributed to its many thousands of staff. Towards the end of 2011 the Council deployed PSIGEN PSI:Capture for scanning and Microsoft SharePoint 2010 for managing and providing access to a variety of documents types across the organisation. For the first phase of the project PSI:Capture is operating with Kodak i4600 scanners in the post room located at the Council’s headquarters in Wakefield. Once they are in full production the Council expect to be scanning up 1.8 Million documents per annum.
Haulfryn Group Ltd, an operator of holiday and residential mobile home parks across England and Wales, decided to deploy PSI:Capture Enterprise as their SharePoint 2010 Document Capture solution. University Hospital South Manchester (UHSM), a major teaching hospital NHS trust, deployed PSI:Capture Enterprise with Intelligent Character Recognition (ICR) and Optical Mark Recognition (OMR) to process up to 8000 hand printed patient satisfaction surveys every month. The process of recording and analysing the data needed to be fully automated to ensure the Trust was able to regularly report on its performance against quality goals set by the NHS. “Before we purchased the PSI:Capture solution there was just no quick way to process the surveys”, said Tyler Warburton, Nursing Project Manager. “Now that we have a way to easily process our surveys, we will expand the solution to other departments.” UHSM plans to expand PSIGEN’s solution into other areas of their organisation for not only surveys, but other document capture needs. Chiorino UK, part of a worldwide manufacturing company specialising in conveyor and process belts, needed to improve both speed of handling and access to documents, especially in the accounting department. The company is currently scanning and capturing data from a range of documents including supplier invoices, purchase orders, confirmation receipts, production sheets along with HR documents and wages reports. Sales invoice data is transferred from a Baan accounting system and other documents are indexed and stored in DocuWare for access by both internal users and external users via a web client. We can also feel secure that our archiving is not in boxed paper form, but safely electronically filed.”
The Fire Brigades Union, headquartered in Kingston-upon-Thames, needed a way to store large volumes of paper documents in their newly deployed Microsoft SharePoint 2010 document management system. Isos Housing, a housing association headquartered in Newcastle upon Tyne, is responsible for the day-to-day management of almost 12,000 homes across the North East, from Berwick in the north down to Stockton in the south, and across to Cumbria in the west. The company adopted PSI:Capture to enable them to automate the scanning and storage of invoices and other accounting documents in their Microsoft SharePoint system. The capture system uses unique barcode references created from their accounting system, Open Accounts, to index and organise documents in SharePoint for quick and easy access by staff in their four offices across Northumberland.
