No need to install and maintain any software
By using a Cloud capture service companies no longer have to make the commitment of purchasing and maintaining specific software and hardware. Now you can purchase an annual subscription for the amount of documents you want to capture data from.
Subscription based pricing is easier to manage
Buying a subscription to use the software just for the volume of documents you need to process provides greater flexibility as costs can be attributed to service related expenditure rather than capital expenditure. This may mean that the sign-off for the expense can be achieved more quickly and at a lower level in the organisation.
Flexibility to upgrade your solution at any time
Unlike an on-premise solution, a Cloud capture service is much quicker and easier to install and offers more flexibility when your requirements change. For example, you may start with scanning of HR files, but then half way through the year the finance department decide that they also want to use the service, which increases the document volume and the number of users.
Web based data validation interface makes adding users easy
With most traditional document scanning and data capture solutions each user needs to have a software application installed on their PC. This may be needed for physical scanning of documents from a connected scanner or for validation of index data that has been captured. With our Cloud capture service users can simply scan to network folders directly from any MFP or scanner they have available. The folders are automatically synchronised to the Cloud server and processing begins. When data needs to be validated, each user can login with their own account and see their documents and make corrections from a web browser.
Software maintenance and support included
At the end of the subscription period there won’t be any additional cost to pay for software upgrades or support as these are included in the subscription. With an on-premise solution, although the software is purchased outright, there is usually a fixed annual maintenance and support fee based on the original software cost regardless of how many documents you have processed during the year.
